Reunion Agenda:
I. Reunion Details
Friday night – Sept. 18, 2009
· We don’t yet know if this Friday will be a home or away game as the football schedule won’t be available until next year, but we’ll keep our fingers crossed and once the date is finalized, will make contact with the school to host a pre-game walk-through of the school.
· Laura has made contact with Malibu Mac’s (restaurant in Red Mill Commons) and the owner’s are happy to have us host our post-football game meet-up there.
Saturday night – Sept. 19, 2009
· Cristie Chase has contacted several venues with banquet rooms/halls in the area:
i. The Sanctuary at False Cape
1. She has left messages, but no calls/emails back.
ii. Half Moone Cruise and Celebration Center
1. Located next to Nauticus (where prom was held) but, no calls returned.
iii. Shifting Sands Beach Club
1. Located on Dam Neck Naval Base so we would need a military sponsor. Could be the most economical choice. Left messages, but no calls back.
iv. Gold Key Resorts
1. Finally! They called her back! J They have several properties that could work and suggested 5th Street Clarion and could reserve a block of rooms for guests. He is getting a packet together with price quotes and ideas for us to consider. He understands that we have $0 budget to start and still wants to work with us- a good sign!
· So, the most promising option is Gold Key and Cristie is waiting on the packet with price quotes from them and hope to get some calls/emails back from the other venues as well.
· Music – DJ? Band? Both?
i. Cristie contacted a friend of hers who is a DJ & will give us the rate of $75/hour
ii. She also has a band who could do 90 minutes of ’99 cover songs for $300 total
· If anyone is willing to help Cristie take on this HUGE project (ANY help would be appreciated) please contact her! (cristie1321@yahoo.com).
Sunday afternoon – Sept. 20, 2009
· Red Wing Park Reservation Info:
i. half day ($50) 9:30am – 2:30pm or 3:30pm – sunset
ii. full day ($100) 9:30am – sunset
· If we use a commercial cooker, amplified sound, etc. then we need an event permit
i. Special Use Permit fee ($100) for 2 or less items
ii. Event Permit fee ($200) for 3 or more items
II. Fundraising Efforts
Yard/Rummage Sale
· Amber Lattuca contacted her church (Lynnhaven Presbyterian) about using their facilities
o The cost would be the $150 (which we can pay afterwards, so we'll have what we earned). The only up front cost would be advertising (newspaper, etc), and if we did a concession stand (the cost of the food we would sell).
Other ideas to earn money with little to no cost going in are:
· Car Wash
· Cash Night at local restaurant
· Letter Writing Campaign (we could write classmates and state its a fundraising effort to reduce cost of the reunion)
These efforts are very important as they will help us to cover more of the reunion costs so that ticket prices will be lower. To help with planning or volunteering to participate in these events, please contact Amber! (amber.lattuca@dominionenterprises.com)
III. Classmate Connection
How Many Found?
· As of June 27, we have found 74 out of 400 classmates (19%).
· We have groups set up on MySpace & FaceBook to which Morgan posts notices and information regarding reunion meetings and updates.
· Cristie Chase went through all of MySpace and sent out a letter to all in our class notifying them of the reunion and encouraging them to contact the class email with their contact info.
o She is planning to do the same on FaceBook and Classmates.com
E-Newsletter
· An e-newsletter will be sent at the end of the month to all alum that we have been in contact with.
· Items will include: Reunion updates, Fundraising projects, Survey of what we want at our reunion, Request for ideas/suggestions/help, Alum spotlights/updates/pictures
IV. Next Meeting
Our next planning meeting will be held Saturday, September 13, 2008
· We will all report on the progress we’ve made.
· The location is TBA – will be set by end of August.
