Minutes from Jan 31st Reunion Meeting

So sorry for the delay in posting these everyone! Here are the minutes from our last reunion planning meeting. Our next meeting is March 14th- Hope you can come!

Class of 1999 Reunion Planning Meeting
Saturday, January 31, 2009

Alum Present:
Morgan Morrison, Kylene Lowe, Scott Easley, Laura Hart, Amanda Mocanu, Amber Lattuca

I. Updates
Morgan reported that Cristie Chase is no longer able to head up the Saturday event as she’s engaged (congrats!) and wedding planning is now taking up all her spare time.

II. Reunion Night
The discussion turned to the price of the reunion being as affordable as possible so as many alum as possible could attend.

• Ticket prices of $35 per person & $50 per couple were suggested.
• The thought is this price would cover the football game, 1 drink post-game, school tour, Saturday event, and Sunday picnic
• We weren’t sure if we could cover all of our events at that price or not.
• Cost-cutting suggestion included:
• Possibly holding the reunion at Ocean Lakes in the gym.
  § Are we allowed? What costs are involved?
  § It definitely has to be alcohol-free if on school grounds.
• Providing music via an iPod playlist
• Catering- maybe Pollards?

III. Football Game

• Amanda is trying to get in touch with Coach Chris Scott to find out the game schedule.
• Perhaps move the reunion to match up with homecoming or a home game against Kellam.
• See if we can organize a school tour pre-game
• Post-game the meet-up location will be Keegan’s (formerly Malibu Mac’s).
• Laura is in touch with the owner- all is good there

IV. Fundraising

• We need to raise money to put down a deposit at whatever venue we choose to hold our reunion night
• It was suggested we try selling ads in our reunion program to raise money
  Suggested prices: $25 for ¼ page $50 for ½ page
  $75 for full page $100 for banner at reunion
• Amanda will contact Maria James about ad sizes
• Other ideas:
  Hold an online auction (suggested items to auction were artwork, services, or gift baskets created by members of our class)
  Children’s book sale (Amanda)
  Guadalajara night (Scott)
  Sell reunion favors (cups, t-shirts)

v. Other Ideas

• Post-meeting, other ideas that were suggested regarding cost-cutting for our reunion:
• Hold a field party type of event (Rent tables, tents, and chairs at MWR for cheap; Cater food from a local vendor and provide beer/wine/soda/water for drinks; Music by a volunteer or playlist)
• Rent a room/bar out (2nd floor of Dirty Dick’s or someplace similar; Maybe a back room of a restaurant)
• Scratch the 3-day event and focus only on the game/bar night (Friday night football game w/ game ticket and hotdog?, Friday post-game at a bar w/ 1 drink ticket and food specials?, then Saturday picnic that's catered to bring your family out)

VI. Next Meeting

• At our next planning meeting we will report back on what we’ve found/heard and make some decisions!
• Meeting will be held: Saturday, March 14, 2009
