Meeting Minutes - March 2009

Alum Present

Morgan Morrison, Kylene Lowe, Laura Hart, Amber Lattuca, John Koehler

Reunion Date

1. We were originally planning for the weekend of September 18-20, 2009.
2. The VBHS football schedule is still TBD; however we are hearing that there are probably no home games from mid September until early October.
   

Next Steps:

1. Morgan will contact Chris Scott (head coach) to get the final schedule or find out when the final schedule will be decided.
2. We will make a final decision on our reunion date at the next meeting in April.

Reunion Events

1. We have no one heading up the main Saturday night event which has led to the discussion that perhaps a 3-day reunion event is too much to take on for our first reunion, especially given everyone’s limited available time and money to put forth towards this effort.
2. The pros and cons of various combinations of reunion events were discussed:
1. 3-day event (Friday football game & bar night, Saturday dinner & dancing, and Sunday picnic with families)
2. 2-day (Friday football game & bar night and Saturday picnic with families OR Saturday dinner & dancing and Sunday picnic with families)
3. 1-day (Saturday dinner & dancing)

Next Steps:

1. We decided that the 2-day event would be best for our first reunion

2. Items to follow up on:
1. Football Game –

·Can we host some kind of pre-game gathering at OL to tour the school?

·What will group tickets cost?

·Can we decorate a portion of the stands for us all to sit together?

2. Bar Night –

·Which bar/restaurant will we meet at post-game?

·What kind of specials can we arrange at the bar/restaurant?

·What kind of decorations can use at the bar/restaurant?

·Can we provide our own playlist at the bar/restaurant?

3. Picnic –

·Which park & shelter will we reserve and what is the final cost?

·Will we grill? Provide catered food?

·Can we have alcohol out at the park? Any special permit needed?

·What decorations and gifts (i.e., cups) will we want at the picnic?

·Any special events at the picnic? Games, etc.?

Other Items

1. Attendance

1. Morgan has collected contact info (emails or more) for 112 classmates and passed out sheets listing those alum that she has no contact information for (This list is also posted on our blog at: http://olhs99.blogspot.com/).
2. It was discussed how many alum would attend the reunion.

2. Costs
1. Given the events that we have chosen, we will be able to lower the price of the reunion. We will finalize prices at our next meeting when we have final costs for all events.
3. Reunion DVD
1. John stopped by the meeting to offer his services in creating a DVD with then-and-now pictures, memorabilia, and video from our reunion that we could offer as an option to the ticket price (estimated somewhere between $10-20 depending on how we package it).

Next Steps:

1. We will continue to track down classmates and encourage them to send in contact information (at least email addresses) to OLHS99@gmail.com.
2. We will bring all the possible costs we can think of to the next meeting so we can finalize ticket prices and start selling them.
