Meeting Minutes

The reunion planning committee met this weekend to get the ball rolling on our upcoming 10-year high school reunion. We've got a good game plan going and amazing alumni have stepped up to start planning! Below are the minutes from that meeting. Feel free to volunteer to get involved or pass on ideas by contacting any of the people identified in the minutes- the more input/help/manpower, the better our reunion will be!

Reunion Agenda:

When should we hold the reunion?

• September 18-20, 2009
• This is the 3rd weekend of September - it usually is the one free weekend at the beach therefore hotels should be cheaper while the weather is till nice.
• August 15, 2009 will be the RSVP date so that we can have final headcount numbers in enough advance time.

Reunion Weekend Events

• Friday, September 18
• Laura Hart & Amanda Mocanu volunteered to be the contacts for Friday’s events.

• We are hoping to schedule the following on Friday:
• Meet and greet at OLHS to walk through the school and visit with teachers
• Designate a section in the stands at that night’s football game for ‘99 alum
• Class of 1999 night at a local bar or restaurant post-football game

• Saturday, September 19
• Cristie Chase & Sara Marsh volunteered to be the contacts for Saturday’s event.

• This evening will be the main reunion event with dinner and dancing.
• The event will be cocktail attire (not super fancy, but not jeans and flip flops either)
• We need to set a location and start looking into food, bar, and music
• Other ideas: Photo booth? Superlatives? Memoriam for those who have passed away?

• Sunday, September 20
• Morgan Morrison & Kylene Lowe volunteered to be the contacts for Sunday’s event.

• We’d like to host a potluck picnic at a local park for alum to bring their families.
• We could provide water/soda, hamburgers/hotdogs, and condiments
• Alum can bring a covered side dish or dessert
• We would like to invite OLHS student organizations to possibly fundraise by attending and setting up games/face painting/etc. for the kids of attending alum

Fundraising

• We currently have no money to plan this reunion- yikes!
• Amber Gallob volunteered to head up fundraising efforts.

• We brainstormed several ideas (we need to raise some money up front to book venues):
• A rummage/yard sale that all classmates can participate in (sell stuff you’ve been meaning to get rid of, sell artwork or other goods you create, etc.)
• Max & Erma night (or any other restaurant) where we get a % of the profits
• Sell ad space for sponsors in a reunion program

Miscellaneous Details/Ideas

• Money Matters
• Morgan Morrison volunteered to set up a Class of 1999 bank account.
• We would like tickets to cost no more than $50 each.

• Alumni Searching
• We have found 45 out of 400 classmates as of 04/24/08 (that’s only 11%).
• Cristie Chase will up the search on myspace/facebook for alum.
• Morgan Morrison is frequently checking the OLHS99@gmail.com account and updating the blog (http://olhs99.blogspot.com/) as she gets contact information.
• The best info we can get is email b/c that is the cheapest way to communicate reunion news and details
• If people don’t have/use email, then addresses, phone #s, & emails are welcomed too

• E-Newsletter
• We have an idea to send out an electronic newsletter to all alum to keep them updated with reunion progress.
• We can include committee contacts, alumni spotlights, pictures, hotel info, etc.

• Reunion Program
• Maria James volunteered to look into the costs/process of creating a program for our reunion.

• We can include the reunion event information, classmate updates/contact info, memories from OLHS, ads from sponsors, pictures, etc.

Next Meeting:
